Intro to member transfers
All transfers are now handled via the BowlsLink system.
Depending on your state, there are a few rules and requirements before transfers can happen or be approved. To see your state rules and requirements click the link in the table below:
| VIC | https://www.bowlsvic.org.au/pennant/clearances/ |
| QLD | Contact bowlslink@bowlsqld.org for any queries |
| NT | https://www.bowlsnt.com.au/bowlslink-support/ |
| WA | https://www.bowlswa.com.au/club-forms-and-documents/ |
| SA | https://www.bowlssa.com.au/clearances-2022-23/ |
Multiple scenarios can happen in BowlsLink for a transfer. Below is a flow chart of the transfer process. Through this course, you will learn the basic way to complete a transfer as if you were the club receiving a new member, to approve a transfer as the club the player is leaving.
If you have any questions on transfer, please contact your local state office.
Transfer-Workflow-BowlsLinkInitiating a transfer
When a player wants to join your club, you will need to do the transfer through BowlsLink. To start this process, you will need the member’s National ID number.
Please Note – if you cannot find the member with a SEARCH contact your State Body (if intra-state) or Bowls Australia via bowlslink@bowls.com.au (if interstate) for the Member ID. Never Add as a New Member for someone who is transferring.
Please click the PLAY ⊳ button and watch the following video on initiating a transfer.
Approving a transfer
As the club the player is leaving, depending if you have archived the player already or not, you might be asked to approve the transfer in BowlsLink.
Please click the PLAY ⊳ button and watch the following video on approving transfers.
Also as the club the member is leaving, if they are not archived and do not have a registered email, you will need to approve the transfer on the member’s behalf. You will receive a further email as well, please click approve to have the transfer continue.
Once the transfer has been completed, as the administrator you will need to make sure the member has playing rights (Membership category) and is financial.
Please click the PLAY ⊳ button and watch the following video on updating membership details.
Member joining as a secondary club member
BowlsLink members can be members of multiple clubs in the system, with one club being their primary club. If a member wants to join your club as a secondary member e.g. as a social member, you can invite them through the system for them to come into your BowlsLink membership list.
Please Note – if you cannot find the member with a SEARCH contact your State Body (if intra-state) or Bowls Australia via bowlslink@bowls.com.au (if interstate) for the Member ID. Never Add as a New Member for someone who is transferring.
Please click the PLAY ⊳ button and watch the following video on how to invite a member to join your club as a secondary club.
Transferring an Archived or Returning Member
If a Member of your Club is returning for the upcoming season or has returned to Bowls, their profile may have been archived and need unarchiving to be eligible to play.
When transferring the member back or to your Club as a new member, their status of being Archived or Active may not be obvious however, when Transferring the Member, there are two identifiers that can Club Administrators recognise.
Transferring an Returning (Archived) Member
In some cases, members may transfer to another Club, i.e. for interstate seasons, but still remain at your own club as a Secondary member – their Club membership icon is identified in Dark Blue. In these circumstances, members are often Archived in anticipation of their return post the competition season.
When transferring a returning member to your Club, Club Administrators can Un-archive the member and then ‘Request Transfer’
To Un-Archive a member, click the Archived tab of your Membership list and click the tool icon next to the relevant member.

Click Un-archive Member. The member will then appear in your Active list.
From here, click the members name and on their Member dashboard (Details), and on the righthand side, click Request Transfer

This will request action of the current Primary Club, STA and Member to accept the transfer. Once all are accepted the member will become a Primary Member of the requesting Club.
If the transfer is taking longer than anticipated, you are best to contact your STA to assist finalising the transfer. STA Contacts can be found here.
Transferring an Archived Member
Members requesting transfers may not always be returning to a new Club but returning to the sport and to a new Club altogether. In these circumstances, members are often Archived by the most recent Club and can be Transferred to their new Club but their status of Archived may not be so clear.
To Transfer an Archived member,
Click Add Member on the righthand side of the Member list and select Add Existing Member.
Search for an existing member’s registration using the text field below. Search by “surname [space] club name” – e.g. “Hancock Melbourne” – or by National ID. Only the 50 most relevant matches will be shown.
OR, If a member isn’t registered to a club, try searching by their National ID. Only exact matches are shown.

When the member is found, they will only have the Invite option available and the ‘Invite and Transfer’ will be greyed out. The Member will also not have a Primary Club listed.

An invite is sent to the Member’s email address as well as a representative of the Club/Clubs of which the member is current.
Once accepted, the transfer will be finalised and they are listed as Primary to your Club. You can then Add Memberships as necessary – for information on How to Make Members Financial follow this link.
