Making Members Financial
Firstly, when logging into BowlsLink, you will need to be acting in the role/context of Club Administrator. This can be selected when logging into your account.
Once you have logged in as a Club Administrator, navigate to Membership header on the left-hand side menu and the Members page. Select the tick box next to the Member’s Last Name.
Note – Multiple members’ memberships can be added at once by clicking multiple individual boxes, or, click the tickbox at the top header and this will Select All members.
After the Member or members are selected, a light blue banner will appear, Click Add Membership

A menu on the right-hand side will open, allowing administrators to select the Type and Start Date of the Membership.
Select the relevant Membership Type to assign from the available dropdown and Click the “Start date” field – this will allow Admins to set the Start date and Time of the Membership.
Once the Date and Time has been confirmed, click “Add“

When Added, the listed Members will become GREEN with a tick. Next, click “Close“

Memberships that have been applied successfully to members will display the relevant Membership Type, Competition Type (inc colour icon) and Financial To date.
NOTE: If an existing membership that has overlapping dates with the Current and New, an error ‘x’ in RED will appear, prohibiting the membership from being added.

Note
Since the introduction of Membership types in BowlsLink, August 2024, there are legacy types that cannot be edited by Club Administrators.
For example, any membership types with an asterisk (*) in the description, are legacy types and do not allow Fee Packages to be changed.

Club Administrators are best to create a NEW Membership type for their members.
To Create Membership Types and Fee Packages, check out our BowlsLink Support article Fees and Membership Types
Issuing an Invoice
After the membership has been added to a member’s profile and requires payment, click Finance on the lefthand navigation menu.

The following page will list the recent Payments in BowlsLink in chronological order.
Select the appropriate transaction and click the tool icon on the righthand side. This will provide various prompts including:
- Download
- Send
- Enter Payments
- Void
Click Send to issue the invoice to the member via email.

Note – currently the Invoices themselves and the automatically generated email that are sent to the member, cannot be customised. If an Administrator wishes to contact them with instructions, we recommend contacting them directly. The BowlsLink Email Campaigns are available and an efficient way to communicate with members – to find out more, see our BowlsLink Support Email Campaigns User Manual.
To view the Invoice in depth, click the Invoice Number
When viewing the Invoice Dashboard, you will see the amount charged, type of transaction, who it was issued to and the reason for the invoice – beneath the invoice number a Green (Sent) or Red (Not Sent) dot will appear.
Below is a SENT INVOICE

Below is an UNSENT INVOICE

If the Invoice remains unpaid and overdue, it can be VOIDED – once voided the membership becomes REVOKED and will need to be re-added.
To Void an Invoice, view the invoice dashboard an click the VOID button on the top right hand corner – you will be prompted to enter a confirmation code to finalise
